Electronic Document Delivery: Close the Loop on Every Visit

What Electronic Document Delivery Does
When a field rep closes a visit or a technician finishes a job, the relevant documents — invoices, receipts, delivery notes, job reports, service records — are sent to the customer automatically. No printing, no waiting until end of day, no back-office bottleneck.
Delivery happens through the channel each customer prefers: Email, WhatsApp, Viber, or SMS. All four channels are built into the platform, ready to use with no additional integrations.
The feature ships as part of the Dynamics Mobile platform — not an add-on, not a separate module. Every Field Sales and Field Service deployment gets it out of the box.
Why It Matters
Paper documents create a chain of delays and disputes. A driver prints an invoice at the store, hands it over, and drives away. If the customer later questions a charge, the back office has to dig through paper files or call the rep — who is already three stops down the route. Meanwhile, the ERP has no record of what was actually issued in the field until someone manually enters it.
Electronic document delivery eliminates that gap. The moment a transaction is completed on the mobile device, the document is generated, delivered to the customer, and recorded in a central register. The back office can see it immediately. The ERP sync includes it. The customer has it in their inbox or messaging app before the rep leaves the parking lot.
For organizations operating across multiple territories — where some customers expect email and others communicate primarily through WhatsApp or Viber — the multi-channel approach means one configuration covers every market.
How It Works
What the field worker does
- Completes the visit or job on the mobile app — order, delivery, payment collection, or service task.
- Closes the visit. The app triggers document generation based on the transaction type and configured rules.
- The document is sent automatically through the designated channel. The rep does not need to manually email or message anyone.
- If a physical copy is needed — for fiscal compliance or customer preference — the rep can also print to a portable Bluetooth printer on the spot.
What the supervisor sees
- Every issued document appears in the electronic document register — searchable by customer, date, document type, or rep.
- Delivery status is visible: sent, delivered, or failed.
- Any document can be previewed, downloaded, or re-sent from the back office without contacting the field rep.
What happens in the ERP
- Document records sync to Microsoft Dynamics 365 (Business Central or Finance & Operations) as part of the standard transaction sync.
- The ERP holds the same document data as the mobile device and the register — no manual re-entry, no reconciliation gaps.
Key Capabilities
| Capability | What it means in practice |
|---|---|
| Multi-channel delivery | Send via Email, WhatsApp, Viber, or SMS. All channels built in — no third-party integrations to configure. |
| Rule-based sending | Define which document goes to whom, through which channel, and when — per document type, customer, territory, or workflow step. |
| Electronic document register | Every document issued from the field is stored and indexed. Back-office teams can search, preview, download, or re-send any document with full delivery status and history. |
| Bluetooth printing | Print invoices, receipts, or job reports to portable ZPL-based printers (Zebra and compatible) on-site when a physical copy is required. |
| Fiscal printer support | Compatible with fiscal printers such as Datecs and Tremol for markets where fiscal compliance mandates printed records. |
| Offline operation | Documents are generated and queued on the device without connectivity. Delivery triggers execute as soon as the device regains a connection. |
| ERP sync | Document records flow to Dynamics 365 Business Central or F&O as part of the standard bi-directional sync — no manual entry. |
| Audit trail | Full history per document: who issued it, when, through which channel, and delivery confirmation. Ready for compliance reviews. |
Real-World Impact
Organizations using Dynamics Mobile have documented measurable operational improvements after going live:
- Office 1 Superstore (Bulgaria) — 80% productivity increase post go-live, with error rates reduced to 0.1%. Order processing volume grew from 300 to over 500 orders per day. Electronic document delivery eliminated the paper bottleneck between warehouse operations and back-office reconciliation.
- Multi-State Beverage Distributor (USA) — 180+ field reps across 7 states now issue invoices and receipts from the field in real time. Supervisors see every delivery, every collection, and every return as it happens — instead of waiting for reps to return to the depot.
- ANSA MCAL Trading (Trinidad & Tobago) — 200+ active users across 3 business units and 8 territories. Multi-channel document delivery means each territory's customers receive documents through their preferred channel without custom configuration per region.
Across these deployments, the pattern is consistent: replacing paper with electronic delivery cuts dispute resolution time, removes manual document entry, and gives back-office teams a searchable record of every transaction — without changing how field reps work.
Getting Started
Electronic document delivery is active by default in every Field Sales and Field Service deployment. Configuration is rule-based: you define which documents trigger delivery, which channel each customer receives them through, and any territory-specific exceptions. No development work is required — the rules are managed through the platform's low-code configuration tools.
For organizations that also need physical copies, portable Bluetooth printers (Zebra ZPL-compatible) and fiscal printers (Datecs, Tremol) are supported alongside electronic delivery — the two modes work in parallel.
